Eventually any IT professional will have to deal with upgrading equipment, whether it be a laptop refresh, a server upgrade, or even an entire environment overhaul. It can be an incredibly daunting task no matter the size of the project. Here are a couple of tips to keep in mind when doing this kind of project to avoid being overwhelmed.1) Plan, Prioritize, Organize. First plan out the upgrade - from the budget to the timeline. Draw out the timeline, especially if it's a big project. Next, prioritize. Don't get stuff that's not a necessity first. For example: if it's a laptop refresh, think about the actual machines first, instead of trying to pick out the laptop bags or the desktop docks. Organize meetings to keep the project team up to date. There is nothing worse than a misinformed upgrade team. 2) Test, Document. Once the plan is ready to go, order equipment for a pilot group of users. Don't order 200 laptops because if they have a defect, they will all need to be sent back and that’s a hassle. Instead order one or two, put them through rigorous testing, and send them back if need be. Once the pilot group is happily testing away, document everything. You never know when you'll need that documented process. 3) Execute, Maintain. Once you're happy with the test results of the pilot group, order the equipment, and begin the upgrade process in tiers. This can be done in a number of ways; by department, employee numbers, the list goes on. The most important thing however is to avoid an upgrade in the middle of a production day, especially if it's a server upgrade or a server software upgrade. And last but not least, maintain the new equipment/software. Don't just ignore it; keep it up to date with patches and the latest version. Hopefully these few tips give some good food for thought when considering an upgrade project of any scope.
